External Reference File 

XPlica provides an additional facility to update metadata from an external reference file for metadata cleansing purposes. When a document or list item metadata is specified in the external reference file, XPlica uses the values in the external reference file instead of the document or list item metadata values as available in the source SharePoint list. To specify the external reference file to use to assign document or list item properties in SharePoint:

Use batch file as external reference file option enables you to provide the same batch file given in the previous step as external reference file, in order to lookup the metadata values for files, list items and folders being migrated into SharePoint. In other words, if you have the a single batch descriptor file containing metadata for the respective files, list items being migrated, you can provide the same batch file to use as the external reference file by selecting Use batch file as external reference file option. It will be selected by default if you are creating a new migrate task. Therefore, you can have the metadata values either in the same batch file (single file) or in the separate file (batch file and external reference file) to update to the respective SharePoint columns of the migrated files, list items and/or folders. If you have separate metadata file for the migration task, click (...) button to specify the required reference file.

Click (...) button to specify the external reference file. The reference file can be any one of the following file formats - Comma delimited (CSV), Microsoft Excel (XLS) or Text file (TXT).

The external reference file will automatically be extracted once the file name is specified. If you are using a Microsoft Excel based external reference file, then select the sheet name to use from the drop-down.

Specify Date and Time format for the date fields and the User value format for the user related columns entered in the reference file. The selected formats will be used to parse the external reference file and assign them to the respective columns in SharePoint.
